Weeks 12-10: Strategic Planning
Form your relocation committee with representatives from facilities, IT, HR, and operations. Define your budget and timeline. Begin soliciting proposals from commercial movers — request walkthroughs, not phone quotes. Visit the new space and begin space planning. Engage an IT consultant to assess infrastructure needs at the new location.
Weeks 10-8: Vendor Selection & Contracts
Select your moving company and sign the contract. Choose furniture vendors for any new installations. Coordinate with your IT provider on network infrastructure at the new location. Contact your ISP to schedule internet activation — allow 2-4 weeks lead time. Begin address change notifications for critical vendors and clients.
Weeks 8-6: Detailed Planning
Finalize floor plans and seating assignments. Order new furniture and schedule delivery. Distribute employee communication plan. Begin packing non-essential items and archives. Coordinate with building management at both locations for elevator access, loading dock scheduling, and parking permits. Update insurance policies for the new address.

IT begins staged migration of servers and cloud services. Distribute packing supplies to all employees. Schedule all vendor disconnects and reconnects (copiers, water delivery, vending, etc.). Update your Google Business Profile, website, and online directories. Order new signage, business cards, and letterhead with the new address.
Weeks 4-2: Final Preparations
Complete pre-move walkthrough of the new space with your mover's project manager. Confirm all logistics: truck schedule, crew size, access credentials for both buildings. Test all systems at the new location: HVAC, electrical, plumbing, security. Hold an employee town hall for final move-day instructions. Confirm furniture delivery schedule.
Move Week & Post-Move
Execute the move according to the plan. Have your move coordinator on-site throughout. IT reconnects all systems and tests functionality. Verify all furniture is placed per floor plan. Post-move: walk through every floor to check for damage or missing items. Send employees a welcome packet with new office information. Schedule a 30-day post-move review to address any outstanding issues.
